Mission Personnel Administrator
Job Title:
Mission Personnel Administrator
Member of the Mission Personnel Team
Part-time job – 3 days a week
Location:
Crosslinks London office – 251 Lewisham Way
Reporting to:
Mission Personnel Team Leader
Objective:
To provide the Mission Personnel Team Leader with the support he/she needs for the mission partner and associate programmes
Mission Personnel Administrator Functions:
- To administer the residential selection conference for mission partners and associates.
- To assist mission partners with their financial requests.
- To keep in touch with mission partners and associates and under the direction of the MPT Leader to provide pastoral care for associates where needed
- To manage the mission partner home leave programme
- To work with the MPT Leader in promoting good practice for returnees and their families
Detailed Tasks:
Mission Partners
- Prepare, set up and administer the residential selection conferences (normally two a year) for candidates for long term service
- Update database and prepare personal files for mission partners
- Keep in touch with mission partners eg replies to prayer letters, birthday cards etc.
- Update handbooks and send to mission partners when appropriate
- Administer insurance claims
- Send regular fund reports to mission partners
- Receive and action financial requests from mission partners under the leadership of the MPT Leader
- Liaise with the Church Partnerships Coordinator on home leave mission education schedule
- Inform the finance department (payroll) of when mission partners are returning to and leaving the UK on leave
- Set up and arrange debriefing sessions in the London office for adults and children
- Arrange flight bookings and advise on freight arrangements
- Book Interhealth appointments
- Make bookings for retreats
- Prepare and send ‘welcome home packs’
Associate Mission Partners
- Prepare, set up and administer the residential selection conferences (normally two a year) for candidates for long term service
- Update database and prepare personal files for associates
- Keep in touch with associates eg replies to prayer letters, birthday cards etc.
- Update handbooks and send to associates when appropriate
- Administer insurance claims
- Set up and arrange debriefing sessions in the London office for associates
- Under the direction of the MPT Leader, provide pastoral care for the associates
Equipment to be used in the performance of the job:
Crosslinks uses Windows office software, the Thank Q database system and the Sage financial package (training would be given on Thank Q and Sage)
Remuneration:
Basic salary of £20,000 (pro rata) (£12,000 for three days)
Annual holiday entitlement of 20 days (pro rata)
PERSON SPECIFICATION
ESSENTIAL
- Practising Christian (a genuine occupational requirement under section 7 (3) of the Employment Equality (Religion of Belief) Regulations 2003) who can adhere to the Basis of the Society and Statement of Faith and is in full sympathy with Crosslinks’ Ethos Statement
- Genuine interest and understanding of world mission
- Good knowledge of MS Word, basic knowledge of MS Excel
- Strong organisational skills
- Proven pastoral care skills
- A proven ability and enjoyment of doing administrative tasks
- Good written and verbal interpersonal skills
DESIRABLE
- Knowledge of Thank Q database package and Sage financial package
- Experience of doing financial administration
- Experience of living overseas
